    Overview

    Under the direction of the US Payroll Manager, the Payroll Administrator is responsible for contributing to the efficient and effective operations of the Payroll Department, through timely and accurate processing of salary and wage payments, benefit changes and enrollments, while ensuring compliance with Federal and State wage and hour standards and policies.

     

    You will be responsible for providing support between the professional services activity of our business and the integrity of our payroll documentation.

    Responsibilities

    Essential Job Functions:

    • Responsible for biweekly payroll timekeeping and benefit administration
    • Calculates and process team member deductions and remittances 
    • Research discrepancies of payroll information (i.e. timecard records, payroll reports)
    • Review ADP payroll entries prior to uploading to ADP for processing
    • Monthly reconciliation of all payroll related accounts and reports
    • Understanding of manual gross to pay calculations
    • Maintains vacation and sick records and accruals for all payroll groups

     

    • Processing of all year-end related transactions, including the issuance of W2's, reconciliations and final year-end reporting
    • Assist in the process of Year-end forms and preparation of their summaries
    • Annual reporting for Finance for insurance review and fiscal year end
    • Respond to all employee questions and concerns with the highest level of customer service
    • Monitor and investigate accounting reports deductions and other areas of payroll have the proper controls.
    • Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements
    • Collaborate with HR and other departments to ensure pay and personnel records are accurate and up to date
    • Process and manage all team member inquiries regarding W2s and pay statements

     

    Skills:

    • Institute internal payroll and benefits audits
    • Maintain and distribute a wide range of reports to users
    • Set and manage priorities while working under tight deadlines

     

    • Analyze problems and provide solutions
    • Work independently and in a team environment
    • Ability to work under pressure, meet deadlines, and handle changing priorities
    • Handle all inquiries in a professional and extreme confidential manner
    • Deal with confidential information with a high degree of diplomacy

    Qualifications

    Required Experience:

    • FPC or CPP certificate designation is preferred
    • Experience with ADP Vantage and Vantage Time an asset
    • Minimum of 3 years or more of work experience in a payroll/benefits role.
    • Experience with large volume of payroll
    • Generate ad-hoc reports as required
    • Knowledge of payroll-related legislation and labor standards in the US
    • Solid knowledge of US payroll rule.
    • Excellent customer service skills with a well-developed professional phone manner and communication skills (both written and verbal)
    • Knowledge of Microsoft Outlook, Excel and Word
    • High organized, detail oriented, proficient in problem solving and analytical skills
    • Strong prioritization and follow-up skills
